You don't need anything prepared, and you don't need to speak our language. If you tell us this much, we can already get somewhere:

• What your organisation does and how many people would use the system.
• How you handle it today: spreadsheet, paper, another system, or nothing.
• What eats the most time, or where mistakes tend to slip through.
• Any constraint that matters: a deadline, a system you have to integrate with, a compliance requirement.

With that we can tell you whether custom software makes sense for you. If something simpler would do, we'll say that too: we'd rather lose a project than sell you something you don't need.
